    Importing users & groups

Examplary works best if all of your students and teachers already exist in the system, ideally in user groups. This allows teachers to quickly assign a test or practice space to a whole class, or to invite a colleague to work on a shared test.

You can do this by uploading a CSV file containing your users and groups.

    Available plans

CSV imports are available on the Examplary Pro and Examplary for organizations plans.

    Preparing your data

First, let's collect a CSV of the users and their groups. You might be able to export this from your student information system or directory service.

    Download a template:

    Columns specification

    ColumnRequiredDescriptionExample value
emailYesThe user's email address. Must be unique.user@example.com
roleYesThe user's role in the system: student, teacher or admin.student
    first_nameYesThe user's first name.John

groupsNoThe groups the user should be added to, separated by commas if multiple.Class A, Class B
avatarNoThe URL of the user's avatar image.https://example.com/avatar.jpg

    Uploading your CSV file

Once your CSV file is ready, you can upload it to Examplary to import your users and groups. Follow these steps:

    1. Navigate to the Account section and choose Workspace → Users.
    2. Click on the Import button.
    3. Select your CSV file and click Upload.
    4. Review the import summary and resolve potential errors shown.

Once complete, your users can sign in to Examplary using their email and start accessing their assigned groups and resources.

Existing users will be updated if their email address matches an existing account in the system. Any changes to their role, name, groups, or avatar will be applied based on the CSV data.

    Advanced: metadata

You can include additional metadata for each user by adding custom columns to your CSV file. The column names should follow the format metadata_<key>, where <key> is the name of the metadata field.

This might be useful to keep track of additional information external systems might need for each user.
