With a verified email domain, colleagues and students who sign up with their school address, like @yourschool.edu, end up in your school's workspace instead of an empty workspace of their own. You add the domain under Sign-in & domains, set a DNS record with your domain provider, and choose how people join.
Verified email domains are part of the Organization plan. Only admins and owners can set them up.
Add a domain
- Go to Account settings and, under Advanced, open Sign-in & domains.
- Under Verified email domains, click Add domain.
- Enter the domain under Email domain, without the @, for example yourschool.edu.
- Under How people join, choose Admins approve each request (the default), Join automatically as teacher or Join automatically as student.
- Click Continue.
The domain now shows up in the list as Pending verification, together with the DNS record you need.
Verify the domain with a DNS record
Examplary needs to know the domain is really yours, so it shows you a DNS record:
| Type | Hostname | Value |
|---|---|---|
| TXT | _examplary-domain-verification.yourschool.edu | examplary-verification= followed by a code |
Add that record with your domain provider, or ask your IT team to do it. Many providers only want _examplary-domain-verification as the hostname and add your domain to it themselves.
Examplary checks for the record every couple of minutes. Once it's there, the status changes to Verified and every admin gets an email. If you don't want to wait, click the refresh icon (Re-check now). If the domain still isn't verified after five days, its status becomes Verification failed. Add the record anyway and click Re-check now.
What happens when someone signs up
When someone signs up with an address on your domain and isn't in a workspace yet, they get a choice: join your workspace, or Create my own workspace.
- Admins approve each request: they wait until an admin approves their request. Admins get an email and see the request under Users & groups, in Join requests. Pick a role and click Approve, or click Reject.
- Join automatically as teacher or Join automatically as student: they join the workspace right away, with that role.
You can change this choice at any time in the list of domains.
This only applies to people who aren't in a workspace yet. Colleagues who already use Examplary in a workspace of their own aren't moved over. Email hi@examplary.ai if you'd like those workspaces merged.
Subdomains count separately. If students have an address on @students.yourschool.edu, add that domain too. That way you can let students in automatically as students, and colleagues after approval.
Remove a domain
Click the trash icon next to the domain in the list, and confirm with Remove domain. New people can no longer join through that domain, but everyone who already joined stays a member. Another workspace can claim the domain after that.
Using it with single sign-on
If you require everyone to sign in through single sign-on, Examplary matches people through your sign-in system, and they don't see the choice. With a custom identity provider, a verified domain helps there too: accounts with an address on that domain are linked straight away. See Setting up single sign-on.
Troubleshooting
I get "This domain is already verified by another workspace". A domain can only belong to one workspace. Email hi@examplary.ai if that's not right.
I get "Enter a valid domain name". Enter only the domain, without the @ or the rest of the email address.
The status stays on Pending verification. DNS changes can take a while. Also check the hostname: some providers add your domain to it themselves, so it ends up in there twice.
A colleague doesn't get the option to join. They're already in a workspace of their own, or their address is on a subdomain you haven't added.
