Working on tests with colleagues

Last updated on

In Examplary, you can work on a test, a practice space or a whole folder together with colleagues. Invite them as a Collaborator, and you can edit the same test at the same time, leave comments on questions, and restore an earlier version from the history.

That's useful when a department writes a test together: one person drafts questions, another reviews them or helps with grading.

Available plans

Inviting colleagues and sharing folders is available on Teacher (up to ten accounts, including yours) and Organization.

Invite a colleague to a test

  1. In your list of tests, right-click a test or practice space and choose Manage access. Inside a test, you can also go to Share → Manage access....
  2. Type your colleague's name or email address in Search or enter email....
  3. Set the role to Collaborator. The role starts on Participant, which is meant for students.
  4. Click Invite. Your colleague gets an email with a link to the test.

A collaborator can do everything you can: edit questions, change settings, publish, grade and invite others. They can also delete the item, so only invite colleagues you trust with that. Ownership can't be transferred in the app. There's more about roles in Roles & permissions.

If you invite someone who doesn't have an account yet, they get a teacher account. On Teacher, you'll see Inviting this user will increase the number of paid seats when that happens.

Share a folder with your department

When your department works on several tests, share a whole folder. Create one with Add folder in the menu on the left, right-click it and choose Share.... Everyone you invite gets access to every test and practice space in the folder, including the ones you add later. Sharing a folder doesn't send an email: the folder simply shows up in your colleague's menu.

Dragging a test into a shared folder gives everyone in that folder access straight away, without a warning. Dragging it out asks you to confirm first. The share dialog of a test in a shared folder says Shared with the members of folder, followed by the folder's name. You change that access on the folder itself.

Edit a test at the same time

You can work in the same test at the same time. You'll see your colleague's cursor with their name in the question they're editing, and the collapsed questions show who has which question open. Everything saves automatically, and Ctrl+Z only undoes your own changes.

If you'd rather not write the questions yourself, start from the AI test generator and review the questions together afterwards.

Practice spaces can't be edited by two people at once. Agree on who changes what.

Leave comments on a question

Select some text in a question's description and choose Add comment. Type your comment and click Comment. Your colleague can answer with Reply. The checkmark resolves a comment, which removes it. Students never see these comments.

Restore an earlier version

Click the three dots next to Test questions and choose View history. You'll see every version with its date, who made it and how many questions it had. Expand a version to see what has changed since. To go back, choose Restore in that version's menu. Examplary first saves the current questions as a version of their own, so you don't lose anything.

A version is saved when someone edits the questions after a five-minute pause. Only the questions are saved, not the settings, and versions are kept for six months. Version history is there for tests, not for practice spaces.

Troubleshooting

I get the message "Can't assign participant role to a teacher or admin". You're inviting a colleague as a Participant. Set the role to Collaborator and try again.

I get a message about the maximum number of seats. All paid accounts in your workspace are in use. On Teacher, that's ten, including yours.

I can't pick the email address of a new colleague. Your school's admin has turned off inviting new users. Ask them to add your colleague.

It says "No previous versions yet". No version has been saved yet. That only happens once someone edits the questions after a five-minute pause.
